When is this a good fit?
A CRM setup is useful when inquiries arrive through several channels, follow-up depends on individual memory, or the team cannot easily see what happened to a lead. Start with one sales process and the people responsible for it before adding more automation.
What can the project include?
The proposal defines which deliverables apply to your business. Here is how we structure the work.
A pipeline your team can use
Define stages by observable events: a new inquiry arrives, someone responds, an appointment is confirmed, and an outcome is recorded. Agree who owns each stage and what qualifies a lead to move forward. Labels should describe your actual work.
Connected forms and calendars
Map website fields into contact records, preserve the inquiry source, and review booking availability and time zones. A submitted form and a confirmed appointment are different events. The workflow should record both without treating an unconfirmed request as a booking.
Follow-up with clear stop rules
Scope reminders, staff notifications, and customer messages around relevant permissions and connected channels. Decide what happens when someone replies, books, opts out, or asks for a person. Each of those events can require a different next action.
Migration, testing, and handoff
Review the existing fields, duplicates, ownership, and export options before moving records. Test the agreed process with sample contacts, document the configuration, and walk the team through everyday tasks. Historical data and complex imports are scoped separately.
Questions to settle before you start
Do I need a new website to use a CRM?
Not necessarily. An existing site may connect through an embedded form, supported integration, or API. We review its form provider, access, field structure, and booking flow before recommending a rebuild.
Does CRM setup include every platform feature?
No. Your proposal identifies the enabled features, setup work, support, and ongoing services. Email, phone, SMS, AI, payment processing, and other usage may carry separate charges or require additional configuration.
What does a useful CRM launch test look like?
A test inquiry should create or update the intended contact, enter the correct pipeline stage, reach the responsible person, and preserve its source. Test an existing contact, a failed connection, and a booked appointment as well as a brand-new inquiry.
What should you bring to discovery?
- Your current CRM and form tools
- The stages between inquiry and sale
- Who handles inquiries and appointments
- A sample of fields you need to retain
We use the first conversation to understand your requirements. Scope, timelines, pricing, connected services, and support are agreed before paid work begins.
